This Privacy Policy explains how ServiceReport collects, uses, stores, and protects information when customers use the application.

Who we are

ServiceReport is a field service reporting application that helps technicians and managers create structured service reports from typed notes, voice recordings, images, attachments, and job metadata.

Information we collect

We collect account information such as name, email address, company name, role, and authentication details needed to operate user accounts.

We collect report content that users choose to submit, including customer names, site details, work descriptions, ticket numbers, notes, audio recordings, images, generated report text, and uploaded attachments.

When users connect an integration such as Google Drive, we store only the authorization information needed to provide the requested integration and save reports to the connected destination.

We may process transient network identifiers such as IP addresses for security, abuse prevention, and rate limiting. These identifiers are not used for advertising or sold to third parties.

How we use information

We use information to authenticate users, create and manage service reports, generate AI-assisted report drafts, provide exports, sync files to configured integrations, support offline workflows, and maintain application security.

We do not sell personal information. We do not use customer report content for advertising.

Google user data

If a user connects Google Drive, ServiceReport uses Google access only to complete the action requested by the user, such as saving report files and recordings to the user's selected Google Drive account or folder.

ServiceReport does not access Google Drive files unrelated to the connected reporting workflow, and does not transfer Google user data to third parties except as necessary to provide and secure the application.

Data sharing

We may share information with service providers that help us host, secure, authenticate, store, process, or operate the application. These providers are used only for application functionality and support.

We may disclose information if required by law, to protect rights and safety, or to investigate abuse, security incidents, or unauthorized use.

Data retention and deletion

We retain account, tenant, integration, and report information for as long as needed to provide the service, comply with legal obligations, resolve disputes, and maintain business records.

Tenant administrators can export a portable JSON bundle of workspace data—including reports, users, branding, and integration metadata—via the authenticated self-service endpoint GET /api/admin/export. Password hashes and integration credentials are omitted from exports for security.

Customers may request deletion of their account or workspace data by contacting support@svcreport.com. Some backup, audit, or legal records may be retained where required or reasonably necessary.

Security

We use reasonable technical and organizational measures to protect information against unauthorized access, loss, misuse, and alteration.

We maintain server-side operational logs, such as API request timing and error events, to secure and operate the service. We do not embed third-party advertising or behavioral analytics SDKs in the application.

No online service can guarantee absolute security, but we work to keep access limited to authorized users and protect sensitive integration credentials.

Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new last updated date.
